Why We Review Closing Files Our Clients Already Approved (And What We Usually Find)

Approved is not the same as verified. How a second review after the signing protects funding dates for title companies, escrow officers and real estate attorneys.

Approved Is Not the Same as Verified

There is a moment in almost every closing that nobody budgets time for. The notary has sent the scanbacks. The signing went well. Someone on the title team opens the file, sees signatures where signatures should be, and approves it. The file moves toward funding.

And page 40 waits quietly for the lender to find it.

At The Closing Signing Service, we review that file again. Even after the client has approved it. Especially then. This article is about why, and about what we usually find.

When a busy title or escrow professional approves a set of scanbacks, they are not being careless. They are doing what the day allows. A closing package can run well past a hundred pages, the processor has six other files open, and the notary is experienced. Approval, in practice, often means nothing jumped out.

Verification is a different activity. It means someone went through the package with the single purpose of confirming it is complete and recordable: signatures, initials, dates, every notarial certificate, every item that was supposed to travel with the originals.

Those two activities feel similar from the outside. They produce very different results.

What We Usually Find

We are careful about not overstating this. Most files are clean. The notaries we work with are vetted, and the package was already reviewed once before it was dispatched.

And still, surprisingly often, something is there. A missing initial on a page deep in the package. A notary seal that did not press all the way through on a certificate, which makes a legally executed page unrecordable. A page that scanned crooked enough that the county will reject it. A date written in the wrong format on the one document where format matters.

None of those are dramatic. All of them, left alone, become a re-sign. A re-sign means a second appointment, a delayed funding, a borrower who has already moved on emotionally being asked to come back, and a seller whose payout waits.

The Three-Word Emails

When we send a correction on a file the client had already approved, the reply is almost always one of two short messages. I missed that. Or: Thank you for catching it.

We keep those emails. Not out of pride, but because they are the clearest evidence we have that the second review earns its place. Every one of them represents a funding date that stayed where it was supposed to be.

Why We Built It This Way

The rule behind all of this is stubborn on purpose: we never assume a file is correct because someone already reviewed it. Not the notary, who was in the room. Not the client, who knows the transaction better than anyone. Not our own team the first time through.

Redundancy sounds inefficient until you price the alternative. A second review costs minutes. A re-sign costs a day and, often enough, a relationship. Between those two numbers, the second review is not a luxury. It is the cheapest insurance in the closing.

What This Means for Your Office

If you use a signing service, it is fair to ask what happens to the file after the notary sends the scanbacks. Does someone review it? Who? Before or after your team approves it? Is that part of the service, or a favor on a good day?

If the answer is unclear, that is worth knowing before the lender finds page 40.
